Staff absence requests

The project was to improve the procedure for staff requesting an absence during term time. The system was paper based, where staff had to fill in a form and submit it to the head teacher. The head teacher would then need to either approve or decline the request. If they approved it, then they would need to let the member of staff know, inform the school business manager to book supply and then add it to the school calendar.
Therefore, one request led to 3 jobs, it was no surprise then, that the process didn't always run smoothly.
Therefore I did the following to make this process more simplified.
1. Turn the paper form into a Microsoft Form and added a link to the SharePoint site.
2. Used Power Automate to send an approval email to the head teacher when the form was submitted.
3. If the request was declined, it would email the staff member to inform them.
4. If the request was approved, it would email the staff member, the school business manager, the SLT and then add the staff members absence to the school calendar (this did not include the reason for the absence).
Therefore, for the head teacher, what was a number of jobs became 1 with a click of a button in an email. this was much more simplified and ensured that there was no break in the procedure.
