The challenge with end of year reports was two-fold, teachers wanted something that was easy to use and the head teacher wanted something where text boxes and fonts were uniform across all reports. I had experimented with various ways of doing this, from protected Word documents to using textboxes in Excel. All had their merits and drawbacks.
The solution provide was to create an app in Power Apps linked to a list in SharePoint (each class had its own list). The app was designed to limit the number of characters in each text box and teachers could select certain elements from drop down boxes. Teachers could not change the font, or its size, and could not go over the character limit.
Once all of the reports were completed, the list was exported from SharePoint into Excel. A Word template was used and the data from Excel was mail merged into Word, this created a single document for each class's reports. This meant that it was easier for an SLT member to check for any errors. For office staff, it was far easier and quicker to print out. What used to take 2/3 days to print out only took 2 hours. If the reports were being emailed out, the Word document could be split into a single document for each child and then Power Automate could be used to send out bulk emails with each report as an attachment.
Feedback from staff was very positive, one teacher who had recently joined the school said that they were the easiest and most stress-free set of report she had every written.
